Privacy policy

What I collect when you use cooperholm.com, why, and how to change your mind. Written in plain language, because that's the point.

Who this covers

This policy covers cooperholm.com, which is operated by Cooper Holm, a REALTOR® licensed with RE/MAX First in Calgary, Alberta. It explains how personal information is handled under Alberta's Personal Information Protection Act (PIPA), Canada's anti-spam legislation (CASL) and the rules of the Real Estate Council of Alberta (RECA).

What I collect, and when

  • Forms you fill in. When you request a home evaluation, a Holm Move plan, sold prices, a community guide or a listing alert, you give me your name, email address and, if you choose, your phone number and a message. Forms are processed by Netlify Forms and delivered to me by email.
  • Listing alerts and saved searches. If you set up a listing alert, I keep the search criteria you chose (area, price range, home type) so I can send you matching homes.
  • The Holm Report and other emails. If you sign up for my newsletter, or ask me to keep you updated, I keep your email address and a record of your consent, as CASL requires.
  • Site usage. I use Google Analytics 4 to understand which pages are read and how people find the site. It records your approximate location, device and browser and the pages you visit. It does not give me your name. Google's own cookies are involved; you can block them in your browser or with Google's opt-out tools.
  • When you call, text or email me, I keep that correspondence in my client records.

I don't buy lists, I don't collect information from your social media accounts, and the listing data on this site (prices, photos, details) comes from the MLS® System through REALTOR.ca DDF® and isn't about you.

What I use it for

  • Answering the request you made and following up on it.
  • Sending you listings, market updates or the Holm Report when you've asked for them.
  • Keeping the records RECA and RE/MAX First require once you become a client, including the identification and transaction records real estate brokerages must keep under Canadian law (FINTRAC).
  • Understanding, in aggregate, how the site is used so I can improve it.

I don't sell or rent your information, and I don't share it for anyone else's marketing.

Who else sees it

A small number of service providers process information on my behalf: Netlify (hosting and forms), Google (analytics), my customer relationship system (Cloze), DocuSign (contracts, once you're a client) and RE/MAX First's brokerage systems. Each handles your information only to provide its service to me. Some of these providers store data outside Canada, which means it may be subject to the laws of those countries.

Once you buy or sell with me, the parts of your information needed for a transaction are shared with the people involved in it: the other party's brokerage, your lawyer, lender, inspector and the brokerage conveyancing team.

Your choices

  • Unsubscribe any time. Every email I send includes an unsubscribe link, and you can also reply "unsubscribe" or text me. Requests take effect within 10 business days, usually immediately.
  • See or correct your information. Email me and I'll tell you what I hold about you and fix anything that's wrong.
  • Ask me to delete it. I'll delete what I'm allowed to. Transaction records for completed deals have to be kept for the period RECA and FINTRAC set, so those stay until that period ends.

How long I keep it

Enquiries and alert sign-ups are kept while we're in touch and for a reasonable time after, so I can pick up where we left off. Client and transaction records are kept for the retention period required by RECA and FINTRAC. Analytics data is kept according to Google's default retention settings.

Security

The site is served over HTTPS, forms are protected against automated submissions, and my client records sit behind password-protected accounts with two-factor authentication where the provider offers it. No system is perfect; if I ever learn of a breach involving your information, I'll tell you.
